Project Administrator - In Office (Sacramento, CA)

Schedule: 7:30 AM - 4:00 PM
Pay: $25-$35 per hour (DOE)

We are seeking an experienced Project Administrator to support our construction operations team in a fast-paced, detail-driven environment. This full-time, in-office role requires strong organizational skills, accuracy, and the ability to manage multiple administrative tasks across active projects.

Key Responsibilities

Project Administration & Compliance

  • Maintain organized project files for both office and jobsite
  • Prepare, process, and track subcontracts and change orders
  • Ensure all subcontracts are fully executed and compliant
  • Review, verify, and monitor subcontractor insurance certificates
  • Track preliminary notices, lien releases, and vendor documentation
  • Collect and review subcontractor invoices; prepare packages for Project Manager approval
  • Process monthly change orders and update cost tracking as required
  • Prepare and compile owner monthly billings and reporting packages
  • Support job close-out, including archiving plans, documents, and final project files
  • Enter contract items and billing information into Sage
  • Maintain accurate data entry across internal systems
  • Answer phones, route calls, and manage routine inquiries
  • Handle incoming/outgoing mail, FedEx, UPS, and document routing
  • Support general administrative needs for the project team

Required Experience

  • 3-5 years of construction project administration experience
  • Software experience (preferred): Procore, Bluebeam, Sage
